A GTA Corporate Transportation Planning Checklist
Plan executive pickups, meetings, roadshows, and group movements across Toronto and the GTA with a clear, shareable transportation brief.
Corporate transportation is easiest to manage when one clear brief connects travellers, organizers, chauffeurs, and venues. This matters for a single executive airport pickup, and even more for roadshows, conferences, or multi-vehicle movements around the Greater Toronto Area.
Use this checklist to prepare a reliable request for corporate transportation.
Assign one transportation contact
Choose one person who can approve itinerary changes and answer questions on the day. Share their mobile number and make sure they can reach the travellers or event lead.
For an airport arrival, provide the passenger’s reachable number as well. If an assistant or coordinator makes the booking, clarify who should receive pickup updates.
Build a master itinerary
Put each movement in chronological order. For every trip, record:
- Passenger name and mobile number
- Pickup date and time
- Complete pickup and destination addresses
- Flight number, when relevant
- Meeting or event start time
- Passenger and luggage counts
- Planned stops
- On-site contact and access notes

Separate arrival time from pickup time
A meeting’s start time is not the same as the required curb arrival. Work backward from when the passenger needs to be inside the venue, considering building access, registration, security, or a walk from the drop-off area.

- Whether the latest itinerary has reached every stakeholder
